Disable ability to toggle between first and last name.

Postby GPS on Thu May 31, 2007 10:53 pm

Greetings,

When adding a new Person there is the ability in the 'Name' and 'Display Name'
to toggle between having the first and last name in the order you wish. Is there any way of locking this down so that we could have Name as say 1st name, 2nd name only,
and the Display name as 2nd name, 1st name only with no choice ?

It would be nice to have it standardised.

Cheers

Welcome Mark :)

Yes, you can do this. You would use business logic to enforce it. I'll give you the example of using First Name Last Name as the Name and Display name and I think you'll get the idea of how to do it other ways if you want.

So let's say you want everyone's name and display name field to be firstname lastname.

Go into your admin settings and create a rule under the person's section. Use the following settings:

Event: Scheduled (the schedule itself doesn't matter)
Criteria: (First Name is not blank) AND (Last Name is not blank) AND ((Name contains ',') OR (Display Name contains ','))

This would look something like this:

Code: Select all
AND
   First Name is not blank
   Last Name is not blank
   OR
       Name contains ','
       Display Name contains ','

Action: Update fields

We'll updated the display name and name fields the same way. Add the Display Name field. For the Operation choose Calculate. Then for the value use this:

Code: Select all
%[First_Name]%+' '+%[Last_Name]%

Do the same exactly thing for the name field.

Now here's the way to establish the standard and make sure it's enforced properly.

- In admin settings go under automation server > job list and find the job.
- Right-click and choose run job

If you refresh a couple times, you'll see eventually after it says running it'll say succeeded. You could double click the job to see how many objects it updated.

Now, we only made this rule scheduled so that we could update them all. To keep them updated all the time, open that rule we just created and change the event to Before Object is Saved. Then next through it to save it.

From now on, when a person is saved it will automatically set it how you want :)

Cheers!
